KeyLogic Builds OI&T a Scalable Project Dashboard
The Client: The Office of Information & Technology (OI&T) delivers IT services to the Department of Veterans Affairs (VA). OI&T acts as a steward for all of the VA's IT assets. This project aimed to provide transparency for OI&T’s Project Management Office (PMO) reports.
The Challenge: While key IT stakeholders within the VA were always aware of their investments, they often lacked the transparent reporting that the federal government requires. KeyLogic was brought in to help the PMO increase visibility of OI&T’s investments by instituting a dashboard-style executive reporting system.
The Solution: When KeyLogic arrived, the PMO already used Microsoft SharePoint to collect project information and status updates internally. To increase transparency, KeyLogic developed web-based Microsoft SQL Server Reporting Services (SSRS) reports. These tie into the PMO’s SharePoint project list and display color-coded project status reports. This allows everyone in the group to easily view IT projects that OI&T has under way, see how far they have progressed, and identify which need help. The system also provides SharePoint links back to individual projects in the technology office’s portfolio. Project updates are reported in real time.
The Result: Transparency is the prime benefit of KeyLogic’s efforts. Project status reports were formerly distributed internally to PMO officers only. Now anyone who is authenticated on the OI&T network can run the reports, see what projects are ongoing, and identify their stakeholders. This greatly promotes investment visibility within the agency. Other benefits include:
Scalability. The PMO’s executive reporting system was initially deployed only at one location. That was the Capitol Healthcare Network, a mid-Atlantic based Veterans Integrated Service Network (VISN) known as “VISN 5.” It did not stay there, however. OI&T’s one-time investment at the VISN level was rapidly scaled up and adapted throughout the VA’s Region IV.
Increased Efficiency. By running the report, stakeholders and technical leads can drill directly into individual SharePoint items on the PMO project list. There they can make direct project edits and real-time updates. The executive reporting systems also saves manpower by identifying which reports stakeholders are responsible for and confirming investment status.
Dynamic Information Display. Outputted reporting in KeyLogic’s reports system can be sorted by project location, business goals, fiscal year, project status, and various other categories. These sorting options increase the likelihood that users will find the answers they need about the projects with which they are involved.
